Privacy policy

1. Who we are, and who we are part of

LevelSweep is a trading name of NSW Cleaning & Gardening Corporation Pty Ltd, ABN 36 675 643 651, which provides cleaning, gardening, landscaping and grounds maintenance to strata schemes across New South Wales. We operate alongside StrataKeep, which provides building and facilities management to the same kinds of buildings. The two businesses are related and share common ownership and management.

We tell you this up front because it affects how your details may be used. When we say our group below, we mean LevelSweep, NSW Cleaning & Gardening Corporation and StrataKeep.

2. What we collect

When you request a quote or we provide a service, we collect:

• Your name and your position, such as strata manager, building manager, facilities manager, committee member or owner.
• Your business contact details: email address, mobile number and the agency or company you work for.
• The building address and the scheme number, being the SP, BMC or DP.
• Details about the building relevant to the work: number of car spaces, number and type of levels, foyer area and floor finish.
• Photographs of the areas we service, taken as the record of work performed.
• Records of our correspondence with you, and of the services we have quoted and delivered.

We do not collect payment card details, because these services are invoiced to the scheme rather than paid by card.

3. Why we collect it

• To prepare your quote and issue a work order.
• To schedule, perform and document the service.
• To invoice the scheme and to manage our accounts.
• To follow up a quote you have requested but not yet acted on.
• To contact you about other services offered across our group, as described in clause 4.
• To meet our record keeping, insurance and work health and safety obligations.

4. Contact about other services in our group

This is the part most privacy policies bury, so we have put it in plain terms.

If you ask us for a quote, or we service a building for you, we may contact you about other services in our group, including services outside the scope of the work you originally asked about. That includes cleaning, gardening, landscaping and grounds maintenance from NSW Cleaning & Gardening Corporation, and building and facilities management from StrataKeep. We may contact you about a different building in your portfolio to the one you originally enquired about.

We do this because most people who contact us manage more than one building, and because the businesses in our group are the ones we can actually vouch for. We contact you at your business contact details, about services relevant to buildings you manage or own.

Three commitments that go with it:

• Every marketing message includes a working unsubscribe. One click, no reply required, and it takes effect promptly. This is required by the Spam Act 2003 and we treat it as a floor, not a target.
• Opting out never affects your quote, your price or your service. Unsubscribing from marketing does not stop us sending the operational messages you need, such as work orders, scheduling confirmations, photo records and invoices.
• We do not sell your details, and we do not share them with third parties for their own marketing.

If you would rather we did not contact you about anything beyond the job in front of us, tell us at quotes@levelsweep.com.au and we will record that against your contact.

5. Who we share it with

• Within our group, as described in clause 4.
• Subcontractors who perform the work, limited to what they need to attend and complete the job: building address, access details and scope. They are not permitted to use your details for their own marketing.
• Service providers who run the systems we use, such as our customer relationship management, accounting and email platforms.
• Where required by law, or to establish or defend a legal claim.

6. Where it is stored

Records are held in cloud based business systems. Some providers store or process data outside Australia. Where that happens, we take reasonable steps to ensure the provider handles personal information consistently with the Australian Privacy Principles.

7. How long we keep it

Quote and service records, including photographic records, are kept for 7 years. That period is set by our accounting and insurance obligations: a photo record is the evidence of what a deck looked like on a given day, and claims can be made well after the event.

8. Accessing or correcting your information

Email quotes@levelsweep.com.au to ask what we hold about you, to correct it, or to ask us to delete it. We will respond within 30 days. Where we cannot delete a record because we are required to keep it, we will tell you why.

9. Complaints

If you think we have mishandled your personal information, email quotes@levelsweep.com.au and we will investigate and respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

10. Cookies

Our website uses no advertising or tracking cookies. The quote calculator runs in your browser and holds your answers only until the quote is submitted or the page is closed.

11. Changes

If we change this policy we will update the date at the top. Material changes to how we use your information for marketing will be notified to you directly.
